AKBANK

PaperWork paperless branch applications have already started to be used by 8000 users in 860 branches with 6000 scanners, 5500 of which are Fujitsu made, 500 of which are other brands, and marks. Akbank Project is one of the largest scanning projects on distributed structure in Turkey.
"Paperless Branch" project aiming to increase operational productivity in branches of Akbank has transformed into a success story in a short time. The project has been realized by Akbank Project Team under the idea leadership of Sevilay Özsöz, deputy of general director responsible for Akbank Operation, and cooperation with GG Soft. The project foreseeing saving, and sharing all documents without wet signature in electronic media has made easy many processes for document flow through whole bank, and addiction to photocopy in branches has been history. Akbank has made less investment on scanners thanks to scanner sharing application developed by GG Soft. Furthermore, all fax machines have put away from branches thanks to fax integration by GG Soft. It has been ensured that bank has made economy of 40.000 pages each day.

Avea, archiving all law department documents within PaperWork solutions.

Avea, the sole GSM 1800 mobile operator of Turkey also has  a nationwide customer base of 12,4 million as of June 2009, archiving all law department documents within PAPERWORK solutions.

Paperwork is the main tool that manages all documents created in  law department, traces case files and correspondences, serves as a  the platform of information sharing in common law cases for company lawyers. All documents saved in PAPERWORK by scanning and indexing with the index fields which are specified during analyze phase, are easily and centrically managed and viewed through simple and  user-friendly interfaces. Acıbadem Health Group,

The ASG group, which spread during the last 20 years throughout Turkey with the hospitals it founded, was seeking a solution to control their rapidly increasing archives. The aim was to manage the patient files and created documents, which increased parallel to the growth strategy of the group.

The Components of the Solution
As we take a look at the content of the patient file, we see that it consists of many documents of different types and sizes, which are created commonly in the hospital. Even if much of the information is in the Hospital Management application, an important part of the information is in a physical environment in the patient files.  The health care personnel definitely need to see the patient file before performing any process.

The length of the time to access the patient files -which are in a physical environment- and the warranty of security are the most important problems. With the suggested solution, the time to access the documents for the hospital personnel was shortened much and the quality of the service has increased. The time and money cost for the delivery and collection of the patient files in the physical environment were terminated and the running cost of the archive was decreased. With this solution the ASG group saved an annual sum of 50.000 YTL on archive running costs.

Ark inşaat


 

ARK İnşaat will manage it's intensive dcoument traffic within PaperWork.

 Due to the nature of work, construction sector have to deal with many documents in work processes. As a typicall example, every department in Ark İnşaat carries out a large amount of documents in their work processes. ERDEMİR MINING

IWCA has started using EMC Documentum products in the project realized by G&G Soft, and Proline in order to meet requirements of content management needed in IWCA departments. General Document
All correspondence between IWCA departments and external institutions is controlled by EMC Documentum based General Document software. Incoming documents are scanned, recorded, and processed in General Document department. After project has been completed, IWCA has started using one number in its correspondence. Application of standard file plan, and infrastructure of a total work extending from General Document to Archive has been prepared.
Archive Management,
With Archive Management application, Process extending from recording all files in organization, and department archives starting from General Document, transferring to organization, and/or government archives, and destruction has been realized by using EMC Documentum content management infrastructure.
Law Document Management
Documents in IWCA law department are taken under record by scanning in EMC Documentum. With works realized, integration with Law Trace Software used in IWCA Law Department, direct access to files over lawsuit, and bankruptcy records, adding new documents, and document management processes are ensured.
Visual Content Management,
Recording of Video recordings of works, and observation in Istanbul canalization infrastructure, conversion into different formats, automatic creation of previews have already started by using EMC Documentum Digital Asset Manager application.
Information Right Management
IRM - Information Rights Management modules towards advanced level authorization are taken into system. This authorization allows you to access to recorded documents in EMC Documentum for a certain time depending on user authorization, to read, to change, to print out from printer etc.

SHELL & TURCAS PETROL INC.

By our physical archive service bureau service, the archive was organized and it is provided to access the created document till then very fast. The filing equipment here; are classified and numbered according to department, equipment type, subject and date., An index area defining the equipment is created in PaperWork Document Management and Filing System for each equipment. After making the necessary inquiries on PaperWork by the index areas, it is provided to access in a very short time the physical place of the document.  The archive regulation, which determines how to use the documents existing and will be added to the archive, is prepared according the SOX 404 rules.


     Primarily, the documents and contracts of the juridical department are scanned and transferred into the digital environment by our specialist data entry operators by PaperWork and provided to the usage of the employees. As a result of the analyzing works of the juridical department, which a huge sum of documents, case files, contracts, licenses e.g. are transferred on the PaperWork Document Management and Filing System according to defined criteria and authorizations.  By the transfer of the authorization levels inside the company to PaperWork, the users can access the documents in accordance to their authorizations. By the feature of PaperWork to work through Microsoft Office software, documents, which are created here, can be added to the PaperWork Document Management System. Incoming documents from outside the organization are scanned with Canon DR scanners and transferred to PaperWork according to the resulting criteria of the analyses made by GG Soft personnel. Changes made to all documents added to PaperWork are prosecuted according to the version. By this, all changes to documents like contracts, case files, offer and similar documents, which are prepared in group work, can be prosecuted.


Our PaperWork OCR Server processes the scanned documents and creates text data. So, a full text search can also be made on scanned documents in image formats. Shell employees can easily access their desired documents by performing word based searches among all of the electronic and scanned documents by using the developed search engine of PaperWork. 

With form processing (ICR-Intelligent Character Recognition) in handwriting filled Shell SmartCard application forms are also passed through the ICR process via our PaperWork FormMagic ICR software and transferred into the digital environment. So, SmartCard forms can be accessed very fast and the security of signed physical documents is increased once more.

Koç Group,  provides KoçAilem Card to Koç Group employees in order to inform about and make them benefit  from periodic campains which gives special advantages to users. Filled out forms by users willing to benefit this card's privileges are scanned , indexed with specific predefined fields, and finally archived  through PaperWork Quick Archive User Interface within PaperWork. Customer information, which is pursued by the Koç System Sales Department through MS CRM, by being transferred on PaperWork, the versionizing of the pursuance of the formed documents, the run of the process with the rules of which the approval is predefined, will be realised with the start of the offer phase on PaperWork Document Flow Module. Thus, it is aimed to increase the customer satisfaction by automating the offer and contract phases according to the predefined rules.

Koçtaş

Koçtaş, which is the leading company in home improvement retailing sector, decided to archive  all agreement documents,  and also incoming / outgoing invoices by PaperWork. Every contract is recorded within PaperWork with the index values determined by the analysis and viewed by all users within their authority they have, when needed. Since, Koçtaş works with a large number of suppliers, collecting all contracts in a single pool ,  taking alarms on contract due dates will provide easy access,  prevent contract related loss, gain efficiency on contract management . KENT FAKTORING

Migros Türk will realize the archiving and management of several documents of defined document types anymore by using PaperWork. Both to decrease the area they occupy on hard discs and to decrease the brunt of the computer networks while sharing these documents, documents in image formats will be filed by using the DjVU technology. By a full-text search in through the PaperWork OCR Server scanned documents and electronic documents, searches will be made according to the content of the document and the desired documents will be accessed right away. With the PaperWork Web Application Server, Migros employees will also be able to view the documents via the Web.

PFIZER TÜRKİYE

Pfizer Medicals Ltd. Co. has chosen as document archiving and management application the PaperWork Document Archiving and Management software. As a result of the evaluation in the field of keeping and management needs in an electronic environment of medical authorization, marketing, medical literature and legal documents Pfizer Medicals has chosen PaperWork as the most appropriate software. In the frame of the project, information of for the start chosen departments on paper are scanned and began to be filed and managed in PaperWork Document Filing and Management software. As a result of the co-operation with the Pfizer project team, the documents of the chosen departments are transferred into PaperWork by using document banks, created through examining the document types, and fast access indexes. Every transferred document is made adequate for word-based searches by using Optical Character Recognition (OCR) technologies. So, even by one word in the document, the access to the document is provided. With the PaperWork technologies, the search and finding of one word among hundred thousands of documents kept in PaperWork is realizable in seconds.

Beside this, with the 'service bureau' service provided by us, documents of several departments were scanned and transferred into PaperWork.

Peugeot Turkey transfers and archives all of its invoices issued to its dealers for vehicles and technical services on PaperWork. With this, invoices in the electronic archive are shared in real-time among the departments processing with invoices in accordance with the authorisations. TEMA VAKFI

With this project TUBITAK Uzay Teknolojileri Araştırma Enstitüsü employees will fill out and put into process nearly all internal forms such as  expense and job application forms electronically. Entegration projects will be made within their recent systems and Taskspace, in order to use data taken from these forms as an information for other systems.
Moreover, TUBITAK Uzay Teknolojileri Araştırma Enstitüsü employees got the education and training needed, in order to design and activate their own forms and processes for further/future needs from GGSoft consultants.

TUBİTAK UEKAE

Tübitak UEKAE, which is one of the organizations to be dispersing digital signatures, has decided to use PaperWork for the processing and archiving of digital application forms. After the application forms are scanned with high-speed document scanners, they pass through the ICR process with our PaperWork FormMagic solution; and the information is transferred into an electronic environment, automatically archived by indexing on our document management archive system PaperWork.
At the same time, beside the application forms, all documents with the necessary information of the organization and applicants are also archived and managed on the system.

YAPI KREDİ EMEKLİLİK

With our PaperWork API (Application Programming Interface) solution, Yapı Kredi Emeklilik uses the archiving feature of PaperWork to file the customer files in their self-developed CR application on the net. Beside this, with the made fax integration nearly daily 1500-3000 incoming faxes are archived through PaperWork API on their own CR software.
Simultaneously, with the routing solution of PaperWork, faxes from predefined numbers are routed to the related department. With the voice file archiving feature newly added to PaperWork API, the voice records of the calls gathered at the main phone exchange are archived and managed through PaperWork in the CR application. The management all of legal documents occurring intensively, the pursuit of case files and correspondences and the information-sharing of the attorneys in common cases in the juridical department of Yapı Kredi Emeklilik is made through the juridical document management system PaperWork LawSuit.
