Workspace

Workspace developed within PaperWork has been designed for common document share of user groups. The real purpose here is to provide document sharing to groups getting together for a specific purpose at a specific period without accessing to main archive, and without losing time.
Organizations have to share documents among internal/external departments, and users outside of the organization. While sharing, what is a basis is to share only related documents, not all documents of the organization. Additionally, it is waste of time to make a search, and find these documents. When all these are taken into consideration, it cannot be underestimated the importance of workspaces for companies.


Examples of use of workspaces in companies;

  • Sharing of project documents started in a department.
  • Sharing of project documents used, and revised often in a department.
  • Document sharing of departments that are parts of the same project.
  • Document sharing in ongoing projects in branches of organization.
  • Document sharing of organization with external institutions, his procurers, and suppliers.

Use of "Workspaces" can be increased as in the example above. The purpose is the controlled share, and management of a document within authorization.


It will be much easier to explain this subject in an example. For example, GG Soft Software department has been developing Web based software for his A customer. While developing this software, software department has been sharing some documents with Sales, and Marketing Departments. Additionally, A customer has been sharing some documents with his technical team. GG Soft has been in cooperation with a Web graphics designer as well.
All produced documents has been collected in a workspace, all users have put all documents in this workspace within their authorization.


It is easier to explain this example with attached screen capture. Users have created separators in order to group documents according to their needs, and added related documents to these separators. Each user has been authorized to see which document, to process which documents on which separators. For example; users of software team cannot see "Marketing" separator. Web graphics designers, can only see "Design Documents" separator. During the time passed, documents have been revised, and versioned.

As a continuation of this, Processes to be run on documents and separators are the same as processes that can be run on "File Card" screen. Basic features of this screen are to add, remove, version a document, create roles, add notes, send documents to other users, to make adjustment for life cycle, authorize, and see detailed logs.
