Working through MS OFFICE Applications

  • The first purpose of PaperWork is to enable users to archive, and manage electronic documents on which they work during their daily work lives. You can archive, and manage your documents through MS Office add-ins of PaperWork in applications like Word, Excel, PowerPoint, Outlook without need of another application, by way of PaperWork installing in menus of AS Office applications.
  • Dropzone developed for quick archiving lets you archive any documents by dragging, and dropping over it. Your personal folder can be synchronized with your personal archive in PaperWork with My Documents folder in.
  • Thanks to the same feature, you can archive every kind of document by carrying it over PaperWork symbol (an owl).
  • You can archive any document by right clicking, and choosing the menu.
  • Shortcut of any document in PaperWork archive can be created on desktop by drag, and drop method.(created shortcut is encrypted in 128 bit, and cannot be seen by unauthorized users).
  • When right clicked on shortcuts, all information of document can be obtained within authority.
  • As special to user, personal preferences can be arranged by changing view adjustments.
  • User can reach latest document they use by way of Last Used section.

Flexible File Cards


It is possible to expand application fields of PaperWork in your company, thanks to flexible file cards. You can personalize application, and keep various data in the system by defining data fields on file cards.

  • Unlimited number of data fields can be defined on a file card,
  • These data types can be used on data fields:
  • Text, Floating Number, Date, Time, Currency, Memo, Check, Combobox, ListBox, Counter (fields creating automatic numbers in defined formats)
  • Advanced search can be made on data fields, searches can be saved, and reused later on,
  • Relations can be defined between entered data fields, and traced.
  • Delete date can be assigned to records. Expired records can be deleted from the system.
  • Unlimited number of documents can be associated with file cards.
  • Documents can be associated with more than one file card thanks to structure of main record, and sub record.

Advanced Archive / Document Management

  • Even though you do not have the application creating the document, you can open the document with PaperWork Preview. (For example, a user not having MS Word application can open, and see inside the document)
  • Unlimited number of workspace can be defined. Information and document can be reached quickly without searching in main archive with these work spaces.
  • Document types archived are recognized by the system automatically.
  • Summary information (one created automatically) of MS Office documents is sent to the system. 
  • Documents added to the system can be grouped by a separator. You can write notes on separators, and include them in searches.
  • Language of document can be selected so that OCR becomes more successful.
  • Profiles can be assigned to documents.
  • Authorization can be done on document base.
  • Life Cycle can be assigned to documents. At the end of defined time, document is deleted from the system automatically.
  • New versions of documents are created, changed, and new version is transferred into the system automatically (Check in/out).
  • Unlimited number of notes can be added on documents, and search can be made in these notes.
  • Each document has a log. It can easily be seen who has created, changed, and saved when.
  • All documents added to the system can be easily sent through e-mail wizard within authorization.
  • All documents added to the system can be easily sent through fax wizard in a central structure.
  • Image documents (tiff, djvu, bmp, jpg) have thumbnails.
  • Relations can be defined between documents. In case that one of associated documents is opened, other are opened automatically.
  • Operations like zoom in, zoom out, rotate, cut, paste etc. can be performed on every kind of image (Tiff, bmp, jpeg, djvu, etc.) by PaperWork Viewer.
  • Annotations like post-it, stamp, line, small boxes, ellipsis, writings can be used by PaperWork Viewer
  • Annotations are kept as a separate layer, and do not spoil original image. Contents of annotations can be used as search parameters. They can be hidden or showed depending on authorization.
  • Scanned documents transferred to PaperWork are passed through OCR process, and included in content searches (Since OCR software is server based, it requires no user intervention)
  • It can send message, file card, and document to active users in the system through advanced messaging infrastructure. Log of messages are kept in the system.
  • All documents user delete go to her/his recycle box. When necessary, they can be restored by user. Documents forbidden by system administrator cannot be deleted for security reasons.
  • User can archive his/her own documents in My Document apart from other users. Synchronization feature lets users synchronize any folder, and send latest version to the system.
  • Document types (leave form, meeting minutes etc.) used often in organization can be reached by drafts section in the system.
  • Users can make full text search, within their authorization, on all documents in the system by way of advanced search engine. They can save search results, reuse them later on, and open with one click any document in result list.
  • It can work integrated with any kind of fax server. All incoming faxes are added to the system automatically. Incoming faxes are directed to their owners.
  • Advanced document flow module DocFlow© can circulate documents in organization. Internal flows can be designed by way of a visual design tool. Required warning, and control mechanisms are added. Documents added to this structure can be distributed with necessary warnings to users, logs can be studied, and its flow stage can be seen. Automatic warning messages and e-mails can be sent in case of delays an halts.
  • Each user can use scanner connected to his/her own computer without obligation of a license or quitting program thanks to scanner Support of PaperWork viewer (TWAIN, and ISIS Support exist)
  • Glossary structure can be used for searches within the system. Words can be added or removed with their synonyms, special/general uses.
  • Electronic signature infrastructure can encrypt, and hide documents from unauthorized users.
  • Can work without problems in all languages. Languages can be used at the same time while sorting, and searching.
  • Can work with LDAP server compatible with V3 or Microsoft Active Directory.
  • Multiple languages Support (Existing languages: Turkish, English). Every kind of language can be added easily. Users can select any language. More than one language can be used simultaneously over the system.
  • Can work in all version of MS Windows operating systems.
