Shell said good-bye to dusty shelves!

Shell reaching an agreement with GG Soft had 60 thousand folders in 3 months and passed to PaperWork system.

Shell having transaction operations in New York Bourse renewed his archive system and document flow by taking as base SOX standards which is a total of regulations to which all similar firms have to respect. On this issue, GG Soft established by 100% native capital helped Shell Turkey.

The number and importance of documents produced as a result of either responsibilities against official organizations or internal processes increase as days pass by. Needed documents stays in piles of documents irregularly and in worn out conditions. This irregularity causes problems hard to solve. Sometimes, these documents are needed by governmental institutions or independent inspection organizations. Because of this, Shell Turkey has increased its productivity by reaching documents that he has produced so far. All hardware, software and archive personnel needed for Shell Turkey document and archive management have been provided by GG Soft.

Shell that started talks with GG Soft on form tracing in year 2002 has processed for three years Smart Card application forms by way of GG Soft's FormMagic solution transferring forms into digital media. In addition to this, by cooperating with GG Soft, Shell has classified 60 thousand folders in three months. In this job special to Shell, each folder was given a barcode and classified accordingly. Documents out of date are separated to be destroyed. As a result of this cooperation, when Shell tries to find a document, he can find it in bar-coded folders easily. Physical archive was arranged between 1st of October and 31st of December 2007.

What makes GG Soft project in Shell Turkey different is to hire software instead of purchasing. GG Soft has provided Shell Turkey for three years in a framework agreement with all software, hardware, and personnel. GG Soft has assigned a person for arrangement of physical archive. That person finds needed document in physical archive, scans and sends it by e-mail. Law and Archive departments have been using these applications since 1st of January 2008. FormMagic software has not been purchased by Shell Turkey either rather he has been getting it as service. The forms filled for Smart Card arrive at GG Soft, taken out of envelops, scanned and passed through ICR process. GG Soft signs a confidence agreement with each of his customers. Shell Turkey has bought a license of 10 users for PaperWork. This means that 10 users can use system simultaneously. All applications have been developed in Delphi. They are not web based for the time being. System can work with full compatibility with MsSQL, Sybase, DB2 and Oracle databases.
