Burak Kavak, Data Entry and Control Manager in Operation Department, tells us how the decided to use outsource for this process: "Before year 2003, we were doing this job in company. But, when we talk about application form, we are talking about great numbers. Sometimes, it means hundreds of thousands forms monthly. Let alone budget for this, planning labor was a real hardship. Planning of workers careers, calculation of annual leaves, measurements of performances were becoming heavier and heavier burden. For this reason, we decided to use outsource in year 2003. About the process GG Soft has realized, Kavak says: "When we talk about form processing, everybody thinks of ICR/OCR systems. However, form processing does not consist of merely ICR/OCR systems. These systems are not capable of processing some forms. These forms are the one filled by hand either in the fields or in bank branches. When you give these application forms to ICR/OCR systems, error ratio goes as high as 98%. After we have decided to use outsource and before we have decided to work with GG Soft, we have seen and studied applications and all demos of all companies in the market.
All have depended on ICR/OCR and were working in these patterns. Whereas, GG Soft's PaperWork MagicForm product does not show a pattern, rather offer a structure that we can stretch, bend in accordance with our needs. This is why we have preferred GG Soft's PaperWork MagicForm product.
Kavak, emphasizing that a wide structure is mentioned, which covers up whole part rather than only a small part when talked about document management, says: "While making an agreement with GG Soft, we were thinking that they would offer solutions to other departments of the bank, not to our needs only. Kavak organizes market solutions responding to all kinds of needs into three categories: First, rigid applications written abroad. Solution is supposed to meet needs 100% in order to use this kind of applications productively and no adding possible. Second, web based non-professional applications written in Access, they are actually not applications. Kavak thinks that these applications at this size are insufficient. When it comes to GG Soft PaperWork FormMagic application, Kavak considers it flexible, alterable according to needs, offering adequate solution, third category.
Kavak quotes: "We have a dynamic structure in banking and have to change, add and remove some fields on forms. Chosen solution has to meet this dynamism and GG Soft has to adapt himself to the changes we do so that all works are in order. GG Soft and FormMagic provide us with this flexibility. Moreover, another issue important as this is price/performance balance. This is also an important factor why we have preferred GG Soft."
We feel very comfortable in management
Kavak states that the biggest advantage of system is in management. "Normally, it is necessary a big operation to process this volume of document" says Kavak and continues "we work with the principle on pricing per form. GG Soft offers time and correctness ratio commitments. What interests me is whether they carry out these commitments or not. It does not interest me GG Soft carries out these commitments with 10 or 100 persons, who is following which technological developments, who is planning operation. In managerial aspect, I see GG Soft as one person and this makes things easier."
Kavak expresses how they managed to realize system from on their own to a more flexible service capacity like this: "Under normal conditions, you cannot make form entry because of personal costs and mandatory working days of the week. But, GG Soft has the chance to process these forms at their places as long as they meet security requirements. Additionally, during opening seasons of universities and campaign days, a number of forms increase considerably. It is very hard to adapt such dynamism to our structure. Procurement of new personnel, training, and bringing them to the same level as experienced personnel take a definite time. Whereas, GG Soft can direct his specialized personnel according to the needs of the project. These shorten my process and make me focus on my own job. This reflects to our customers as speed and quality."
